Start with the customer’s instructions
A complete billing packet is defined by the customer’s actual requirements. Keep the billing contact, submission method, deadline, purchase-order rules, and attachment checklist with the job record.
Match every document to the right job
Check the customer name, location, work-order number, approved charges, and completion date. Attach the required photos, sign-off, or supporting receipts. Ask the owner about conflicting information instead of filling in the gaps.
Keep proof of submission
Record when and how the invoice was sent. Save the confirmation or reference number and track whether it is submitted, accepted, returned for correction, or waiting for information.
Separate paperwork problems from payment problems
A missing attachment can be corrected administratively. A disagreement about work, pricing, or contract terms needs the owner’s decision. Clear records help both situations, but do not guarantee payment.
