Create one checklist per customer

Different customers can have different registration requirements. Record the written instructions, due dates, contact person, and portal for each account. Do not assume one customer’s rules apply to another.

Collect documents through an approved process

Request the forms, signed agreements, license information, or insurance certificates the customer requires. Keep access limited to the people who need the records, and use the business’s approved secure process.

Track what is missing and what expires

A simple status record should show requested, received, submitted, returned, or awaiting approval. Track actual expiration dates and reminders where relevant rather than assuming every document renews annually.

Keep approval with the right person

Document collection is an administrative task. Coverage questions, legal interpretations, and exceptions to customer requirements should be reviewed by the owner or qualified adviser. Save the decision and the supporting records.

Start with what is on your plate.
